Sales Return[MIGRATED]

Sales Return is used when customers come back to return goods or services. In order to control the return price, Wavelet EMP dictates the person performing the sales return to refer to the invoice or cashsale number. This is because the goods may have been sold at a discount, but when returning, if there's no such control, the company could make a loss for exchanging goods or refunding customer with cash higher than what the customers originally paid for.

Normally, most retail branches accept cash terms only, and no customer accounts are used for each of the sales done. When sales return in being done, customers should product the original invoice or cash bill, and if they fail to do so, sales return should not be allowed because it may be abused. For exceptional cases where sales return is allowed without a cash bill being produced, follow the steps below:

 

SCENARIO 1: CUSTOMER RETURN DEFECTIVE GOODS IN EXCHANGE FOR THE SAME PRODUCT (SAME ITEM CODE THAT IS NON-SERIALIZED)


  1. Just exchange the goods (one to one exchange)


SCENARIO 2: CUSTOMER RETURN DEFECTIVE GOODS IN EXCHANGE FOR ANOTHER PRODUCT WITH SAME VALUE (DIFFERENT ITEM CODE or SAME ITEM CODE THAT IS SERIALIZED).

* You can skip step 1 to step 3 if you have the cash bill or invoice number

  1. Key in the date range, say 1 week ago to today, select the correct location
  2. Key in the item code of the things to be returned (both from and to)
  3. Randomly select one invoice number.... (preferably an invoice that sold to "CASH CUSTOMERS"
  4. As customers may be returning the stock, and taking something new, the shop WOULD NOT REFUND CASH
  5. The staff should "issue an invoice to CASH customer account", since new stocks are being given to the customer (assuming same item, same price)
  6. Since the customer is not paying any cash, the invoice remain outstanding, so the back office will take the Credit Memo (with open balance) automatically created from the sales return to knock off the invoice.




SCENARIO 3: CUSTOMER RETURN DEFECTIVE GOODS, AND TAKE SOMETHING OF THE BIGGER/HIGHER VALUE

* You can skip step 1 to step 3 if you have the cash bill or invoice number

  1. Key in the date range, say 1week ago to today, select the correct location
  2. Key in the item code of the things to be returned (both from and to)
  3. Randomly select one invoice number.... (preferably an invoice that sold to "CASH CUSTOMERS"
  4. As customers may be returning the stock, and taking something new, the shop WOULD NOT REFUND CASH
  5. The staff should "issue an invoice to CASH customer account"
  6. Since the customer paying small amount of cash to top up the difference
a) The outlet staff will take the additional amount paid by the customer, and do partial settlement for the invoice.
b) But the invoice is still  outstanding, so the back office will take the Credit Memo (with open balance) automatically created from the sales return to knock off the invoice.


It is best for the HQ (back office) to do the "knocking off" of the invoice with Credit Memo because it is a form of control, to make sure that every exchange of goods are properly monitored and accounted for. In addition, knocking off process would be too complicated for the branch cashiers to handle because they may make too many mistakes.

Go to TRADING -> (Transaction) Sales Return

Key in the specific Invoice/ cashsale number for that particular sales return

There after, a new screen will pop up. Key in the following:

Sales Return Amount

CREDIT MEMO or Cash Refund (Set options Trading Configurations)

Sales Return to branch

Specify the branch receiving the sales return

Submit

Specify the total quantity of intended returns

After performing the above, the "Confirm & Save" tab will be made available to be selected and a SALES RETURN document will be created.
